Restrict a brain to certain people

Limit a brain to the people you choose, so it doesn't exist for anyone else.

A brain is open to everyone in your organisation until you restrict it. A restricted brain can only be reached by the people you list and by the owner. For everyone else it isn't there: not in Knowledge, in search, in chat, in Slack, or through a connected app.

Restrict a brain

You need to be an admin who is on the brain, or the owner.

  1. Go to Settings and select Brain access.
  2. Find the brain and select Change.
  3. Choose Only the people I choose.
  4. Under Who can reach it, tick the people who should have it. Keep at least one admin on the list.
  5. Select Save.

The brain now shows Restricted.

People keep the brain role they have everywhere else. This setting decides who can reach the brain, not what they can do in it.

Things to know

  • The org-wide brain can't be restricted. It's part of every conversation, so it stays open to everyone.
  • A routine whose owner isn't on the list pauses until someone on the list takes it over.
  • Proposals and routine results for a restricted brain aren't posted to your Slack channel.
  • Opening the brain to everyone again keeps your list, so restricting it later brings back the same people.
